POSITION TITLE

 

Receptionist—Central Administration

 

QUALIFICATIONS

  1. Certificate of training or associate degree toward a degree program.
  2. Valid Arizona State Fingerprint Clearance Card required.
  3. Valid Arizona State Driver’s License.
  4. Strong human relations and communication skills.
  5. Strong skills in computer and software applications.
  6. Knowledge of clerical and administrative procedures and business telephone etiquette.
  7. Ability to organize, plan, give attention to detail, and stress tolerance.
  8. Must be flexible to work with others in a wide variety of circumstances.
  9. Ability to problem solve to identify issues and create action plans and maintain confidentiality; adapting to changing priorities; working with frequent interruptions; communicating with diverse groups; and displaying tact and courtesy.
  10. Able to perform physical demands i.e., lifting, carrying, pushing, and/or pulling, etc.

JOB GOAL

 

The Receptionist will greet and direct visitors, respond to inquiries from staff, the public, parents, students, etc. by providing requested information and/or referral to other parties; answers all incoming telephone calls and directing them to the appropriate departments; inputs salary and wages into Visions; and, when time permits, providing general clerical support for Human Resources personnel.

 

PERFORMANCE RESPONSIBILITIES

  1. Answers telephone system for the purpose of screening calls, transferring calls, responding to inquiries, and taking messages.
  1. Receives and distributes items for Human Resources (e.g., special delivery, mail and packages and messages) ensuring receipt to addressee.
  1. Greets and directs individuals entering the building (e.g., visitors, parents, students, vendors, etc.) and responds to inquiries and/or directs individuals to appropriate location in accordance with established building security procedures.
  1. Maintains and provides building or reference information (e.g., weekly duty, scheduled meetings, etc.) to employees and if applicable to the public.
  1. Maintains reception area materials (e.g., newsletters, event calendars, etc.) for the purpose of providing resource information to visitors.
  2. Assists with inputting and updating salary and wages into Visions for all new and current employees for the new fiscal year.
  1. Schedules meeting rooms and maintains calendar for use of meeting rooms.
  1. Performs general clerical functions (e.g., scheduling meeting rooms, applicant background checks, copying, faxing, data entry, filing, tracking and screening employment applications, etc.) to support Human Resources Office operations.
  1. Assists with processing of new hire required documentation with all new employees.
  1. Processes requisitions and purchase orders and confirms purchase orders are closed for the end of fiscal year with the business office.
  1. Performs other duties as assigned by the supervisor.

TERMS OF EMPLOYMENT

 

Ninety (90) days probationary period of employment when initially hired. Thereafter, twelve (12) months a year at Grade 4 on the Initial Placement Support Staff Salary Schedule. This position is non-exempt. The Governing Board will establish salary and work year.

 

EVALUATION

 

The performance of this job will be evaluated in accordance with the provisions of the Board’s policy on the Evaluation of Support Services Personnel.
